The Database Conversion Process

The database conversion is usually timed to occur just as you are about to go live on your new system. You will most likely complete most of the training before the data is pulled from your PC for conversion. As long as the PC that the database resides in is connected to the internet, the data will be transferred over internet.

The data conversion usually takes at least 2-3 days to complete.

Many people try to have their data pulled after work on Friday in hopes that the data will be ready for Monday morning. This may be possible especially if it's a database we have experience with and nothing unusual happens.

If there are any business days of operation after the database is pulled but before the data conversion is complete, you will have to re-key those transactions into Protractor.

It is important to not enter any critical data into the database before the data conversion is completed. It may be that a part of the data has to be redone. If there is existing data in the database it might be too cumbersome to remove only selected data that came from the data conversion. Furthermore, if customers or vehicles are entered that will also come over in the data conversion, duplicates with result.

Any "go live" date should be considered tentative until the data conversion is completed as things can come up that will require delaying the use of the database.

Once we agree on a "go live" date, you may have to pay an additional charge if you wish to change the date and I am unable to fill the time with another data conversion.

What Data Is Converted

Customers including customer names, addresses, phone numbers and customer notes where possible. Vehicles including VIN, odometer reading, Year, Make, Model and Unit Number where possible.

Customer history including invoice numbers, dates, parts used with part numbers, descriptions and prices, services provided with labor times and prices and invoices totals where possible.

Inventory including part number, part description, cost and pricing to customers where possible.

Payment Terms:

Payment must be received before the data conversion work can start. See the invoice for full details and conditions.

How To Remit Payment:

There are three methods to remit payment:

3. If your shop is in the United States, I can arrange for Fed Ex to pick up the check from you.

Refund Policies:

There is not guarantee as to what data will be converted or in what time frame. Some data may be corrupted or otherwise not retrievable or unusable. I guarantee only to use my best efforts to convert the data.

Some data conversions take longer than others. I can not guarantee a completion date because I won't know what I'll come up against until I'm in the data.

No refunds for any reason after 45 days.

Confidentiality Policy:

Please do not disclose any unnecessary confidential information to us. If any of the information you wish to provide to us is in whole or part confidential information belonging to another person or company, it is up to you to secure permission before providing it to us.

We will not share any of your confidential information with another party without your authorization. It is understood that the agreement between us might specifically call for us to load your information into the database of a third party software vendor such as the one who developed and maintains the software program we are importing the data into and/or converting the data to be used with.  Therefore the authorization to do so is implied. 

After our work is done, all copies of your data residing on any of our computer systems will be deleted.
